What you can do
- See every timed excursion and itinerary event in one calendar.
- Switch between Excursion dates (departure-to-return windows) and Itinerary events (individual scheduled events inside an excursion).
- Filter the calendar by status, excursion type, and activity type.
- Switch between day, week, fortnight, month, year, and agenda views.
- Open an event to see its details and jump to the related excursion.
Source toggle
Use the source toggle above the calendar to choose what is shown:- Excursion dates — One calendar block per excursion, covering the full departure-to-return window. Colour reflects the excursion’s status category, such as Draft, Planning, Review, Approval, or Completed.
- Itinerary events — Every scheduled event inside an excursion, such as travel, meals, checkpoints, or activities. Colour reflects the event status (for example, Cancelled or Completed) or event type when the event is still active.
Filters
Three filter dropdowns sit next to the source toggle:- Status — Shows excursion or event statuses, grouped by category.
- Type — Filters by excursion type.
- Activity — Filters by activity type.
Calendar views
The Calendar supports the standard reusable views:- Day — A single day at a time, useful for checking dense schedules.
- Week and Fortnight — One- and two-week scans of upcoming work.
- Month — The default view, with multi-day events shown as continuous bars across weeks.
- Year — A long-range overview for term and semester planning.
- Agenda — A simple chronological list of events.
Event details
Select an event to open a details panel. The panel shows:- The event title, time range, status, and type.
- The parent excursion name for itinerary events.
- Description, notes, vendor, and location when available.
- An Open excursion button that takes you to the excursion. For itinerary events, this opens the excursion’s Timeline tab.
Common workflows
Plan the week ahead
Open the Calendar in week view with the Itinerary events source selected to see every scheduled event for the next few days, including travel, meals, and checkpoints.Track approvals and reviews
Switch to Excursion dates, then filter by Status to focus on excursions in Review or Approval. Use the year view to see how upcoming work is distributed across the term.Spot conflicts across excursions
Use the month view with Excursion dates to check for excursions that overlap in time, especially when the same staff or vendors may be involved.Tips
- The Calendar is read-only. To edit an excursion or itinerary event, open it from the details panel.
- Events you cannot see may be hidden by an active filter. Check filter badges and choose Clear if the calendar looks emptier than expected.
- Cancelled and skipped itinerary events appear in grey so they stay visible without drawing attention.
