Notifications help staff follow operational updates without needing to monitor every record manually. They are scoped to the current workspace and may appear in-app, by email, or both depending on the type of update.
Where notifications appear
You can access notifications from:
- The bell icon in the workspace navigation.
- The unread count badge on the bell icon.
- The notification popover, which shows recent updates.
- The full Notifications page, available from View all in the popover.
The full page includes All, Unread, and Archived filters so you can focus on current or previously cleared items.
What you can do
- Open a linked notification to jump to the related task, excursion, vendor, form, staff record, or comment.
- Mark one notification as read.
- Mark all notifications as read.
- Archive notifications you no longer need in your active list.
- Review archived notifications from the Archived filter.
Notifications use level badges such as Action, Important, Critical, and Info to help you scan urgency.
Notification channels
Some notifications appear in-app only. Others also send email when the event supports email delivery and the recipient has a usable email address.
Email notifications are intended for higher-impact updates such as assignments, approvals, mentions, and reminders. In-app notifications remain available from the workspace even if an email cannot be delivered.
What triggers notifications
Task assignments
When a task is assigned or reassigned to a specific staff user by someone else, that assignee receives a notification. If a staff member assigns a task to themselves, no notification is sent. Assigning a task to an excursion role without a specific user also does not send a notification.
Task notifications link to the task panel. Excursion-linked tasks open in the excursion’s Tasks tab.
When someone mentions an active workspace user with @ in a comment, the mentioned user receives a notification. Mentions can link back to comments on excursions, tasks, and vendors.
Self-mentions, inactive users, users outside the workspace, and unsupported mention types are ignored.
Forms can notify selected workspace users when a submission is received. Submission notifications must be enabled in the form settings, and selected recipients must be active workspace users with email addresses.
Submission notifications can be triggered by public forms, parent permission forms, and post-excursion survey forms when they use the configured form.
Approval reviews
When an approval step needs action, the assigned reviewer receives a notification. If the step is assigned to an excursion role, active excursion staff with that role are notified.
The excursion organiser is notified when an approval is returned to organiser or rejected.
Excursion staffing
When staff are added to an excursion, each newly added staff member with a linked active or invited workspace user receives a notification.
Vendor document expiry
Vendor document reminders are sent when stored vendor documents are due to expire in 30, 14, 7, 6, 5, 4, 3, 2, or 1 days.
Workspace admins and managers are notified. If the vendor has a responsible staff member, that staff member is also notified.
Staff compliance expiry
Compliance reminders are sent when enabled staff compliance items are due to expire in 30, 14, 7, 6, 5, 4, 3, 2, or 1 days.
This covers CPR training, anaphylaxis training, medication administration training, and Working With Children Check details when the relevant item is enabled and has an expiry date.
Workspace admins and managers are notified. The staff member is also notified when their staff record is linked to a user.
Upcoming excursions
Upcoming excursion reminders are sent for visible, non-archived excursions with a departure time 30, 14, 7, or 1 days away.
The excursion creator and users listed in the excursion Staffing tab are notified.
Practical limits
- Notifications are workspace-specific.
- Recipients usually need a linked workspace user account.
- Email delivery requires a usable email address.
- Reminder notifications depend on the relevant date being recorded.
- Notification creation is best-effort. If a notification cannot be created or delivered, the original action, such as saving a task or submitting a form, can still succeed.
Common workflows
Clear your active list
Open the notification popover or full page, follow anything that needs action, then mark items read or archive them.
Find items that still need attention
Use the Unread filter to review notifications you have not opened or marked read.
Revisit cleared items
