The Staffing tab manages the staff members connected to an excursion. Use it to add staff, assign excursion roles, record attendance, and check whether required responsibilities are covered.

What You Can See

  • A Staff members heading with a staff count.
  • A description of the staffing list.
  • A read-only note if you do not have permission to make changes.
  • Warnings if required responsible roles are missing.
  • Alerts if staff roles cannot be loaded or no active roles are available.
  • An Add staff action when editing is allowed.
  • A staff grid with search, filters, editable fields, and row actions.

Main Actions

Add Staff

Use Add staff to open a modal where you can add one or more staff members. Each row lets you choose a staff member and assign an excursion role. You can add another row before saving if multiple people need to be added at once.

Assign or Change Roles

Use the Role field in the grid to assign each staff member’s excursion role. Roles may use icons or labels to make responsibilities easier to scan.

Mark Attendance

Use the Attending excursion checkbox to indicate whether a staff member will attend the excursion.

Add Notes

Use the Notes field for staffing details, such as responsibilities, limitations, or planning context.

Remove Staff

Use the row action menu to remove a staff member from the excursion when editing is allowed.

Staff Grid

The grid can include:
  • Staff member, including pending invite indicators when relevant.
  • Role, for supervision or excursion responsibilities.
  • Attending excursion, for attendance tracking.
  • Notes, for extra context.
  • Actions, such as removing the staff member.
The toolbar lets you search and filter by staff, role, attendance, and notes.

Common Workflows

Build the supervision team

Add staff members, assign roles, and mark who will attend the excursion.

Resolve missing responsible roles

Review any missing role alert, then add staff or update roles until required responsibilities are covered.

Review pending invitations

Check pending invite indicators and send reminders where available and appropriate.

Tips

  • Confirm staffing before submitting the excursion for review.
  • Keep role assignments clear so reviewers understand who is responsible for each area.
  • Use notes for practical context that does not fit into the role name.
